Creating ICE Contact Groups and Contacts

This video will show you how to create a contact and an ICE contact group

Objective

This SOP outlines the steps to create ICE contact groups and add contacts in TrackPlus to ensure effective communication during distress incidents.

Key Steps

1. Access the Manage Menu

  • Navigate to the left-hand side of your screen.

  • Click on the 'Manage' option to bring up the management screen.

 

2. Add a Contact Person

  • Click on 'Contacts' in the management screen.

  • In the top right corner, click 'Add a Contact Person'.

  • Fill in the contact details:

    • Name: Enter the name of the contact (e.g., 'Me').

    • Role: Specify the role of the contact.

    • Language: Select 'English' or appropriate language.

    • Phone Number: Enter a valid phone number until it turns blue.

    • SMS Number: Ensure this is filled out as well.

    • Email Address: Add an email address for additional contact.

 

3. Verify Contact Addition

  • Check that the contact name appears in the contacts list to confirm successful addition.

 

4. Create an ICE Contact Group

  • Go back to the 'Manage' tab.

  • Click on 'ICE Contact Groups'.

  • Name the new group (e.g., 'Demo').

  • Select the contacts you want to add to this group.

 

5. Save the Contact Group

  • Click 'Save' to create the contact group.

 

6. Assign Assets to the Group

  • Select the asset (e.g., 'Guardian testing device') to assign to the group.

  • Click 'Save' to finalize the assignment.

 

7. Ensure All Assets Have Assigned ICE Contacts

  • Confirm that every asset has an ICE contact assigned to avoid default notifications.

 

8. Understand Default Group Notifications

  • If an asset does not have an assigned ICE contact group, it will default to notify the default group.

Cautionary Notes

  • Ensure all contact details are accurate to avoid communication failures during distress incidents.

  • Regularly update contact information to maintain effectiveness.
