Administrator vs View Only Access in TracPlus Cloud
Overview
TracPlus Cloud has two primary organisation membership roles:
- Administrator — intended for trusted people who need to configure the organisation, manage users and resources, and make operational changes.
- View Only — intended for people who need visibility of tracking and operational information but should not normally change organisation data or configuration.
Administrator access
Organisation details: Edit organisation name, market sector(s), Primary Contact (receives operational communications and may be asked to authorise changes not available through self-service), and Billing Contact (receives invoices and billing communications).
Invite Users: Invite users by email, cancel pending invites, view users, switch roles between Administrator and View Only, remove users, reset passwords (where available), and grant or remove additional Status Tracking permissions. Assign Administrator only to people who need to make organisational or operational changes.
Friends and groups: View and copy the organisation's public key, add or remove Friends by public key, join or leave groups (where supported), and view available sharing recipients. Adding a Friend does not share any assets; a separate share is required.
Asset sharing: Create, edit, delete and review outgoing shares for owned assets. Each share sets the recipient, assets, duration (permanent, open-ended or date range), live-only or live-and-historical access (subject to recipient rules), permissions, and an optional note. Permissions may include: View live trails, View historical trails, View forms, Send and view text messages, Configure device (e.g. tracking rates), and Edit callsign.
⚠️ Administrator access doesn't allow changes to every visible asset. Ownership and incoming-share permissions still apply.
Assets Management (owned): Create assets; edit name, callsign, tail number, type, make, model, variant and other details; set the messaging handle, image and display colour; assign, change or remove devices; assign asset/watchlist groups, ICE/Emergency and device-messaging contact groups; archive or unarchive; manage AMS registration and monitoring. Some changes are unavailable if the asset or device belongs to another organisation.
Device configuration: View device details, latest configuration and cellular/satellite tracking rates; change supported rates and send configurations. Applies to owned devices, or shared devices with Configure device permission. Changes may be delayed if the device is offline.
Contacts: Create, edit and delete contact people and their SMS numbers, voice numbers, emails and defaults. Contacts receive alerts and don't need to be TracPlus Cloud users.
ICE/Emergency contact groups: Create, rename and delete groups; add, remove and reorder people; assign to assets (including bulk-assign); manage the default group (which may be protected from deletion); and choose phone-call or SMS notification. Every operational asset should have emergency contacts, either directly or via the default group.
Device-messaging whitelist groups: Create and edit groups of contacts authorised for device messaging, and assign them to or remove them from assets.
Optional features (if enabled):
- Asset Groups: Create, edit, rename and delete groups, and add or remove assets. These are used for map and reporting views and notifications.
- Event Notifications: Manage notification groups for events such as asset activity or geofence entry/exit, configuring the asset group, contact group, channel and conditions. Email and SMS options depend on plan.
- Geofencing: Create, edit and delete geofences, including boundary and altitude limits, and configure entry/exit notifications.
- Markers: Create, edit and delete markers. Other users can still view, focus, show or hide them.
- Beacon: View assigned and unassigned users, and assign, remove or reassign seats. Total seat count is controlled separately and normally can't be increased by customers.
- Status Tracking: Change aircraft status and remarks; update ACTT; complete and undo Daily Checks; update inspection due dates/hours; manage inspection and equipment definitions and assignments; update equipment status; manage custom columns; and configure dashboard columns.
Limited Status Tracking access: Administrators can grant View Only users specific Status Tracking permissions (status and remarks, inspection due values, Daily Checks, ACTT) without making them Administrators. This grants no general admin rights.
View Only access
View Only users can view accessible assets, devices and live tracking; historical data (if permitted); reports, forms and events; sharing records; organisation details and users; contacts and groups; and enabled configuration such as asset groups, notifications and markers. They can also use personal map and display settings.
A View Only user can normally view information available to the organisation but cannot create, edit, delete, assign or configure organisation resources.
A View Only user can generally:
- View accessible assets and devices.
- View live tracking information.
- View historical information when the organisation or incoming share has historical permission.
- View available reports, forms and events.
- View incoming and outgoing asset-sharing records.
- View organisation details and user lists.
- View contacts and contact groups.
- View asset groups, event-notification groups, markers and other enabled configuration.
- Use personal map and display settings.
A View Only user cannot normally:
- Edit organisation details.
- Invite, remove or change the role of another user.
- Grant additional access.
- Create, edit or delete assets.
- Assign or remove devices.
- Create, edit or delete asset shares.
- Add or remove Friends.
- Create, edit or delete contacts or contact groups.
- Change emergency-notification assignments.
- Configure a device.
- Create, edit or delete asset groups, event notifications, geofences or markers.
- Administer Beacon seats.
- Perform Status Tracking edits unless a specific additional permission has been granted.
Usercode sign-in
Legacy usercodes give View Only access only. For administration, invite the person with an individual email-based account.
Shared assets
Roles and sharing permissions combine. For owned assets, Administrators can manage them and View Only users can view them. For incoming shares, both roles are limited by the owner's chosen permissions (historical trails, messaging, configuration). Administrator status can't override these.
Feature availability
Asset Groups, Event Notifications, Geofencing, Markers, Beacon and Status Tracking depend on subscription, entitlements or rollout. Making someone an Administrator doesn't enable features the organisation doesn't have.
