Accessing TracPlus Cloud Using Usercode
TracPlus Cloud uses email logins instead of the usercode logins used by TracPlus Pro 3. This enables control over individual user access to the system and personalized settings to be saved for each user in your organisation.
Overview
This guide shows you how to turn your existing TracPlus usercode into your own personal email login for TracPlus Cloud, in about five minutes.
TracPlus Cloud uses email logins instead of the usercode logins used by TracPlus Pro 3. This enables control over individual user access to the system and personalised settings to be saved for each user in your organisation.
If you use a usercode to log into the TracPlus mobile app or TracPlus Pro 3, there is an easy way to get an email login account for TracPlus Cloud using these usercode credentials. You don't need to contact TracPlus or wait for an administrator to invite you.
Use this article if any of these sound familiar:
- "I only have a usercode and password. How do I sign in to TracPlus Cloud?"
- "My usercode doesn't work as an email address."
- "I want my own TracPlus Cloud login, not a shared one."
Usercode vs email login
A usercode is a shared login for your whole organisation; an email login belongs to one person.

In TracPlus Cloud, your organisation represents your usercode. Creating an email login doesn't change or disable your usercode, so you can keep using it in TracPlus Pro 3 and the mobile apps.
Before you start
Have these ready before you begin:
- Your usercode and password, the same ones you use for TracPlus Pro 3 or the TracPlus mobile apps.
- Your own email address that you can open right away. Use a personal work address rather than a shared inbox, so the login stays yours.
- A desktop computer or laptop with an up-to-date web browser such as Chrome, Edge, Firefox or Safari. You'll need it to accept the email invite in step 3; a mobile phone won't work for that step.
Step-by-step: create your email login
Step 1. Sign in to TracPlus Cloud with your usercode
Visit cloud.tracplus.com in your web browser and enter the usercode and password that you use to access TracPlus Pro 3 or our mobile apps into the Email and Password fields.
- Type your usercode exactly as you normally would, even though the field is labelled Email.
- Click Log in.

Step 2. Enter your email address and name
If you've entered correct usercode login details, you'll be taken to a form that you can use to enter your own email address and name.
- Enter your first name, last name and email address.
- Double-check the email address. Your invite is sent there, and it becomes your TracPlus Cloud login.
- Click Create Account.
If you see the sign-in page again or an error instead of this form, your usercode or password wasn't recognised. See Troubleshooting below.

Step 3. Accept your email invite
After clicking Create Account you will receive an email invite to your organisation (which represents your usercode) in TracPlus Cloud.
- Open the email with the subject TracPlus Cloud Invite. It's sent from a tracplus.com address and usually arrives within a few minutes.
- Use a desktop computer or laptop to accept this invite, rather than a mobile phone.
- Click Join Your Team.
- Fill in the form that loads in your web browser to create a password.
- Submit the form. You'll automatically be logged into TracPlus Cloud with view-only access.
Tip: The invite link is personal to you. Don't forward the email to anyone else.

Step 4. Start using TracPlus Cloud
You now have view-only access to TracPlus Cloud. You can view asset positions on the map, change your own personal map and general settings, and download reports, but not administrate asset details, sharing, user accounts and contacts.
From now on, sign in at cloud.tracplus.com with your email address and the password you created in step 3, not your usercode.
What you can do with View Only access
An account created from a usercode always starts as View Only: you can see everything your organisation can see, but you can't change organisation data.

Some features only appear if they're included in your organisation's subscription. For assets shared to you by another organisation, what you can see also depends on the permissions the asset's owner chose.
Need administrator access?
If you need administrator access, please contact one of the users with the Administrator role listed on the organisation settings page.
- Sign in to TracPlus Cloud and open Settings > Organisation.
- Find a user in the list with the Administrator role.
- Ask them to change your role from View Only to Administrator.
If no one in your organisation has the Administrator role, contact TracPlus Support (details below). We may need to check with your organisation's primary contact before granting it.
Only need to update aircraft status or daily checks? If your organisation uses Status Tracking, an administrator can give you just those permissions without making you a full Administrator.
Troubleshooting
|
Problem |
What to try |
|---|---|
|
My usercode and password aren't accepted |
Check for typos, extra spaces and Caps Lock. Confirm the same details still work in TracPlus Pro 3 or the mobile app. If they don't, ask your organisation for the current password or contact Support. |
|
I didn't receive the invite email |
Wait 10 minutes, then check your spam, junk and quarantine folders for TracPlus Cloud Invite. Ask your IT team to allow emails from tracplus.com addresses. Still nothing? Contact Support with the email address you entered. |
|
I mistyped my email address in step 2 |
Contact Support with your usercode and the correct email address. We'll cancel the wrong invite and send a new one. |
|
The Join Your Team link doesn't work on my phone |
Open the email on a desktop computer or laptop and click the link there. |
|
The invite link says it's expired or invalid |
Each invite works once. If you already accepted it, sign in with your email and password. Otherwise, contact Support for a fresh invite. |
|
I already have a TracPlus Cloud account with this email |
Sign in with that email and password instead. If you can't remember the password, use Forgot password on the sign-in page. |
|
I can sign in but can't edit assets, sharing, users or contacts |
This is expected with View Only access. See Need administrator access? above. |
|
I can't see some features in this article |
They may not be included in your organisation's subscription, or an asset's owner may not have shared that permission with you. |
